Ordering SMART Board™ Interactive Whiteboards
When looking at ordering SMART technologies, there are numerous hardware and software products available to address your learners’ needs. Research the SMART products by visiting the SMART Tech website smarttech™.com, or by consulting with a LI specialist. This planning will help you decide which SMART Board interactive whiteboard might be right for your specific learning environment.

Deciding which type of SMART hardware to purchase and how it should be mounted depends on your educational needs. When determining the cost of a solution, carefully consider all aspects of the purchase including installation and electrical.
General pricing for SMART products for CBE is regularly updated and is posted in the public folders.: OutLook > Public Folders\All Public Folders\CBE - Information Interface\Supplies and Suppliers\Commodity Information\Audio Visual\Smart Boards.
- You can mount SMART Boards and projectors, onto a wall or you can mount onto various approved frames. The CBE has put in place guidelines for preparing walls and frames for mounting SMART Boards and projectors.
- The projectors require electricity. Depending on the demand for electricity, you may need to figure in the cost of additional electrical circuits. For evaluation of your specific electrical needs for your school, contact CBE Facilities SMART project supervisor Dale Burton at 403-214-1158 x1158 or email dpburton@cbe.ab.ca. Please note that this is a billable service call.
- The computer that connects to the SMART Board requires a wireless or Ethernet port connection if the user wants to use digital resources other than those loaded onto the computer. (to get to the internet or LAN or WAN) This may be an additional expense in some situations. To make a decision about ordering SMART Boards, you need information about cost and process.
Once you have done your basic research, to initiate an order, you must contact the CBE Learning Innovation SMART project manager Gary Raab (gdraab@cbe.ab.ca ).
A “Job NUMBER” will be assigned to your schools request.
To develop a school plan., a walk-through of each instructional space affected in your school will be done with CBE Learning Innovation SMART project manager and the school’s key contact person.
Based on the school’s plan, the job will be turned over to CBE Facilities SMART, project supervisor, Dale Burton, for managing the quoting and installation process.

Note: The ten numbered points are a condensed version of the ordering installation process for a school’s SMART Board (SB) order. SMART ordering/installation are organized under a Scope of Work that are released in phases.
Learning Innovation, Gary Raab, completes the pedagogical site review and makes rough hand written drawings for SMART Board installation for each room. Leaves a copy with the school and sends a copy to CBE Facilities, Dale Burton. Dale forwards these drawings to SharpsAV.
Upon release of a phase (group of jobs), SharpsAV meets with the school contact on the school site. From the rough hand written drawings, SharpsAV firms up the SB positions and adds actual measurements onto computer generated drawings.
The computer generated drawings are sent from SharpsAV through CBE Facilities to the school contact for the school’s approval.
Once the school contact approves these drawings, SharpsAV will attend the school with the subcontractors so they can estimate electrical and structural work as required.
SharpsAV provides a quote through CBE Facilities to the school contact. The school contact is required to approve the quotation based on the approved drawings. Once the school contact gives approval, Gary Raab will email information on the S18 process.
The S18 goes to purchasing. Purchasing issues a purchase order (PO). When SharpsAV receives the PO, they schedule the installation of the SMART boards with the school contact.
SharpsAV and their subcontractors complete their work as required based upon agreed dates and times.
SharpsAV completes a quality management inspection of the newly installed equipment.
CBE facilities may complete independent structural, electrical and technical inspections.
Upon project completion and signoff, payments are made based on SharpsAV invoices. Schools contact Sonya Gillis for additional invoicing inquiries.
Note: Before your job is handed over to CBE Facilities SMART project supervisor Dale Burton, the school must have completed Step Three.(see above)
It is very important to have a key contact person at the school to oversee the installation process. The key contact can be the principal or a designate.
When the key contact person receives drawings and quotes, the key contact must be diligent a paying attention to audiovisual, structural and electrical detail. Correspondence must be timely to help ensure that installation keep to schedules.
Ultimately the principal has to be involved, in that he/she is responsible for the financial decision to proceed from quote stage to creating an S18.
Creating an S18 is done after the school key contact and principal have reviewed and agreed to accept a quote. The CBE Learning Innovation SMART project manager, Gary Raab, will direct the S18 process.
You will be given contact information for the SharpsAV project coordinator .
Once an S18 has been received by CBE Purchasing, a purchase order (PO) will be issued to Sharps AV.
- SharpsAV project coordinator will contact the school to schedule the workflow for structural, electrical, product delivery and mounting of the product as required.

Once the installation is complete, Sharps AV will proceed with their own internal quality assurance process.
